Commercial Collection Agency Upgrades Client Portal to Show Creditors Time-Stamped Status on Every Placed Account

  • Creditors comparing collection agencies can ask to see time-stamped status on each placed account and a way to report payments they receive directly.
  • Southwest Recovery Services’ SWRS Client Portal, now live for all clients, puts placements, documents and activity for each commercial account in one secure system.

Addison, TX, Oct. 29, 2026 (GLOBE NEWSWIRE) -- Overdue invoices account for an average of 23% of B2B receivables in North America, and late payment affects about seven in 10 companies, according to a September 2026 Atradius survey of more than 600 businesses in the United States, Canada and Mexico. Southwest Recovery Services, a contingency-only commercial collection agency founded in 2004, has upgraded its Client Portal so creditors can check the status of each placed account and report payments they receive directly.

The upgrade moves reporting, placements, documents, account status and activity into one secure system in place of scattered emails and attachments. Creditors can search any account by account number, name, amount or date range and see its latest time-stamped activity along with notes and account history.

“I only get paid if we collect. So when an account doesn’t pay, I want the client to see exactly what we did on it. That’s what the portal is for,” said Steven Dietz, CEO & Founder of Southwest Recovery Services.

KEY FACTS

  • Account status: lookups by account number, name, amount or date range, each showing the latest activity
  • Activity reports: one account or the full portfolio, filtered by week, month or year, with milestones, notes and history updating as work happens
  • Direct payment reporting: account number, customer or company name, amount and date, with optional proof and write-off amount
  • Training: a built-in Help Center with short video walkthroughs for sign-in, reports, account status, placements, file exchange and direct payments
  • Speed: placing and tracking accounts takes minutes

When a Customer Pays the Creditor After an Account Is Placed

When a customer pays the creditor directly after placement, a collector may keep calling until the agency learns the money arrived, and that call can cost the creditor a relationship it wanted to keep.

In the portal, the creditor logs the payment, attaches proof or a write-off amount if needed, and the payment posts to the account, avoiding unnecessary contact and friction with a customer who has already paid.

Placing Accounts Through Portal Templates

When creditors place accounts by email, spreadsheets and supporting documents end up in inboxes instead of the account record. The upgraded portal takes placements through General New Debtors and Single Debtor templates, so creditors can submit new accounts or update existing ones in consistent fields that go straight into the portal.

Supporting documents move through an authenticated channel encrypted in transit, with unique file names and a limit of 20 MB per file.

Activity Logs and Security Controls on the Portal

The portal records each action with a time stamp, so a creditor can see when work happened on a file. Each sign-in requires a one-time code, access is limited by role, user logins lock after repeated failed sign-in attempts, and password resets use a two-step, out-of-band verification.

A U.S.-based security operations center monitors the portal 24/7, and the firm's controls are aligned with the Gramm-Leach-Bliley Act (GLBA) Safeguards Rule and the Health Insurance Portability and Accountability Act (HIPAA) Security Rule.

“Our clients trust us with their most sensitive information, and that trust starts with how that information moves,” Dietz said.

Existing clients can sign in at swrsportal.com and report a direct payment today, and new users can request access through the same page.

Frequently Asked Questions

Question: How can a creditor check the real-time status of accounts placed with a collection agency?

Answer: Ask if the agency offers a client portal with account-level lookups and how quickly new activity, such as a contact attempt or customer reply, appears there. Reports that run for one account or the whole portfolio let a controller check a single disputed file or review every account placed in a given period.

Question: What happens if a customer pays the creditor directly after an account is placed with a collection agency?

Answer: The creditor should tell the agency so collectors stop contacting a customer who has already paid. Some agencies let creditors report direct payments in a client portal, with proof or a write-off amount if needed, and post the payment to the account. Ask how quickly contact stops once the creditor logs a payment and how the agency confirms it.

Question: How can a creditor place commercial accounts with a collection agency securely?

Answer: Ask if the agency’s portal takes placements through templates with set fields, so account data goes straight into the system. Find out how supporting documents move, including encryption and sign-in requirements, and if the portal handles updates to existing accounts. A property manager placing 40 move-out balances a month can upload each batch through the same template.

Question: Can a creditor see a collection agency’s notes on a disputed commercial account?

Answer: It depends on the agency. A remittance statement lists recoveries, while portal access to the notes and history on each account shows when the agency contacted the customer, what reason it gave for not paying and what the agency did next. On a disputed invoice, those notes show if the dispute concerns the amount, the delivery or the paperwork.
